What You’ll Do

Reporting to the Logistics Manager and collaborating with team members across the organization, the Order Management Coordinator is responsible for managing and troubleshooting orders across all sales channels. Job duties include, but are not limited to:

  • Support daily order fulfillment duties including importing and sending orders to warehouse, creating packing slips, and closing out orders on a daily basis
  • Confirm and manage movement of processed orders on a daily basis and troubleshooting issues as needed
  • Troubleshoot and investigate order issues, while ensuring timely, effective, and accurate communications between the warehouse and customer experience team
  • Manually create orders as needed, and check orders for compliance across channels (Amazon, wholesale, etc. )
  • Support invoicing process by exporting, creating, and reconciling invoices to ensure full billing on all orders
  • Support fulfillment on Amazon channel including executing removals and transferring inventory following shipment as needed
  • Support shipping processes by checking FedEx exceptions report on a daily basis and breaking out FedEx bill for invoice processing on a weekly basis
  • Serve as primary liaison between customer experience team and FedEx to resolve shipping and delivery issues and true-up records and entries on Quickbooks and Shopify as needed
  • Lead process for larger shipping issues including missing trailers, no movement orders, etc.
  • Record order cancellations, corrections, etc. on all necessary systems everyday on a timely basis
  • Manage communications with manufacturing partner regarding freight bookings and confirmations
  • Lead process for replacement order fulfillment by creating labels, packaging, and dropping off orders on a weekly basis
  • Request LTL quotes and confirm bookings for wholesalers
  • File shipping claims as needed when issues arise
  • Lead the daily returns entry and reporting process
  • Lead reporting on shipping and logistics issues on a weekly basis to cross functional teams

What You’ll Need

  • Associate's degree required; Bachelor’s degree preferred
  • U.S Citizenship or authorization to work in the U.S. required
  • 1+ years of shipping or logistics operations experience
  • Experience and familiarity with Microsoft Excel a must
  • Familiarity with Quickbooks Enterprise, TrueCommerce/EDI systems a plus
  • Experience or background in customer service a plus
  • Strong verbal communication skills and great attention to detail

Where We Are

WAYB’s U.S. headquarters is located in South Pasadena, CA. This has a potential to be a remote role, but may require some travel to various sites, including company headquarters, in order to effectively carry out the duties and responsibilities of the role.
